Use it to make the next step clearer

Lead routing is a sequence of decisions: is the record valid, is there a clear owner, is the prospect a fit, and how quickly should someone respond? This framework gives your team a repeatable way to design that sequence before turning it into workflows.

Decision 1: Is the record ready to route?

Do not route incomplete or unsafe records into a sales queue. Confirm the required contact details, consent state, source, and key context before creating an assignment.

  • Check email validity, country, source, and consent.
  • Identify existing contacts, companies, and owners before creating duplicates.
  • Send incomplete records to a data-quality or nurture path.

Decision 2: Who should own it?

Apply rules in a deliberate order. Territory, named-account ownership, product, language, and customer status usually take priority over a generic round-robin rule.

  • Define the priority order for territory and account ownership.
  • Use fit and intent signals to separate qualified from nurture paths.
  • Create a fallback owner and a visible no-owner queue.

Decision 3: What happens if nobody responds?

Every route needs a service level and recovery path. Stamp assignment and response times so the system can escalate a missed handoff instead of allowing a qualified lead to disappear.

  • Set response expectations by lead type and priority.
  • Notify, reassign, or escalate before the SLA expires.
  • Review unworked, recycled, and rejected records every business day.

Resource checklist

Use these checkpoints to turn the template into a working process.

✓
Required fields defined
✓
Duplicate check included
✓
Routing priority documented
✓
Fallback owner assigned
✓
SLA timers configured
✓
Escalation queue monitored

Key takeaway: A decision tree makes routing transparent. When the team can see why a lead went somewhere, they can improve the rules instead of guessing at the outcome.
